GST invoice formats and document types

A GST credit note is not an invoice with a different heading, and a purchase bill is not your own invoice printed backwards. KVN Billing draws nine document types, each to the format its purpose requires.

INV

Tax Invoice

The full Indian GST form. Company identity, particulars and parties, ruled item table, tax build-up, HSN summary, amount in words, bank details and signature. Reverse charge, place of supply and e-way bill all print where they are looked for.

CN

Credit Note

Issued under Section 34. Carries the invoice it revises in its own band, the reason for issue, and a plain statement that no payment is due against it — because it otherwise looks exactly like a bill, and the amount on it is the one figure a reader must not pay.

DN

Debit Note

The purchase-side counterpart, against the supplier bill it revises, showing the input credit being given back.

PUR

Purchase Bill

A record of inward supply, not an invoice you issued. The supplier leads, their invoice number gets the prominent band because that is what GSTR-2B matches against, tax is shown as input credit claimable with the conditions that govern it, and it is signed off as goods received, bill checked, passed for payment.

QTN

Quotation

An offer, laid out as one. Validity and acceptance are on the page, and it deliberately does not look like a demand for payment.

PRO

Proforma Invoice

For advance payment and for customs, without being a tax invoice.

DC

Delivery Challan

Goods moving without a sale — job work, approval, branch transfer — with transport and vehicle details.

PO

Purchase Order

What you are asking a supplier to send, convertible to a purchase bill when it arrives.

RCP

Receipt

Money received, as an A4 voucher for filing or an 80mm slip for a counter printer.

Printing

What you see is the page that prints.

The full A4 sheet is rendered on the phone, laid out from both ends — header and item table growing down, totals and footer stacked up from the bottom — so nothing can ever overflow the frame.

Columns are measured against the widest figure they will actually carry. If everything is switched on and the amounts run into lakhs, the item name narrows first, and the table drops a point of type before any number is allowed to be cut short. A truncated tax figure on a tax invoice is not a cosmetic problem.

Send it as a PDF over WhatsApp or email, or print to any Android-compatible printer. Receipts know the difference between A4 and an 80mm roll, so a slip is not scaled down into the corner of a page.
